Accounts Receivable – Payment Reports

The Payment Reports provides information on customer payments and how these payments were distributed to invoices. These reports help you focus on a variety of payment data. Each of the Payment Reports is especially designed to provide several options so you can narrow down data to the specific information needed. Read the information below to get a closer look at each of the Payment Reports available in AccountMate.

Print Payment Receipt

The Print Payment Receipt function allows you to generate receipts for payments collected from customers. You can print the receipt immediately after saving the apply payment transaction. You can use this report to acknowledge payments received from customers.

You can choose to print for an alignment test only. There are options to include voided payments in the document, to print the name of the user who recorded the payment in AccountMate, and to print the document without the report label’s background color. You can filter which receipts to print based upon the pay type assigned to them.

You can print unprinted receipts only, previously printed receipts only, or all receipts. You can also opt to hide, encrypt or show the complete credit card information on the document.

You may also choose in the Export/E-mail Options area the Customer E-mail option. This automatically marks the Individual File checkbox and configures AccountMate to create only one file for each Payment Receipt and to send a separate e-mail for each Payment Receipt to the e-mail addresses set up in the customer record. On the other hand, you may manually enter the desired customer e-mail address(es) and have the discretion of either marking or unmarking the Individual File checkbox. Unmarking this checkbox configures AccountMate to create only one file for all the Payment Receipts that meet the report criteria and to send a single e-mail for all the Payment Receipts.

You can print a Payment Receipt either on a short or long pre-printed form or an ordinary paper. You can configure these settings in the AR Module Setup -> Printing tab.

Cash Receipts Report

The Cash Receipts Report provides information on customer payments. This report is useful for reviewing customer payment details and for comparing the cash receipts against the bank deposits.

You can generate this report according to pay types--cash only, check only, credit card only, C.O.D. only, electronic payments only, other types only, or a combination of these pay types. You can also select to generate this report for non-voided payments only, voided payments only or all payments regardless of whether these are voided. You can choose to show, hide or encrypt the credit card number in the report. You can further opt to include in the report the cash/credit card refunds for open credits, the cash receipts for both the parent and subsidiary customers and to show multi-currencies.

Payment Distribution Report

The Payment Distribution Report provides information on the application of cash receipts to sales invoices including the receipt numbers, invoice numbers to which the cash receipts are applied, receipt dates and the applied amounts, among other details. This report is useful for viewing the customer payment details. It also serves as reference in updating the customers’ accounts and balances.

You can choose to show, hide or encrypt the credit card number in the report. You can elect to include in the report the applied credits from sales returns as well as to show the discounts, adjustments, amounts written off from the sales invoices, and to show multi-currencies. You can further elect to show in the report payments applied to invoices only, advanced billings only or both. Option to show the payment distribution for both the parent and subsidiary customers is also available.

Non-Customer Receipt Report

The Non-Customer Receipt Report provides information on payments from non-customers. This report is useful for reviewing non-customer payment details and for comparing the cash receipts against the bank deposits.

You can select to generate this report for non-voided payments only, voided payments only or all payments regardless of whether these are voided. You can choose to show, hide or encrypt the credit card number in the report .You can further opt to show in the report the details of the credit GL Account IDs to which the transactions were posted.

Credit Card Transaction Log

The Credit Card Transaction Log lists the credit card transaction details. The credit card transaction details in this report must match the Settlement Report from your provider and your Cash Receipts Report for the payments assigned with the pay codes set for use in credit card processing. This report is useful in helping you track and review the details of a specific credit card transaction, track the details of each user who recorded the credit card transactions, and use it as a reference for daily reconciliation of credit card transactions.

You can elect to include in this report various kinds of transactions involving sales, verification, refunds, voiding, pre-authorization, and/or credit as well as customer card activities and/or certain credit cards--Visa, MasterCard, American Express, and Discover. If you chose to sort the report by User, you may opt to include in the report the user details. You may also show the complete transaction response. You can also choose to include in the report only the transactions that were successfully processed, only the transactions that failed during processing, or all transactions that meet the chosen criteria.

Credit Card Pre-Authorization Status Report

The Credit Card Pre-Authorization Status Report lists the credit card pre-authorizations that are yet to be converted into credit card sales. This report makes it easier and faster to review the status of each credit card pre-authorization that is yet to be converted into credit card sales.
